Zapier for beginners: five automations worth building first

Automation sounds technical until you build one. These five starter Zaps save time from day one and teach you the whole mental model.

The mental model in one sentence

When this happens in app A, do that in app B. Every Zap is a trigger plus one or more actions, and learning to spot automatable moments in your day — anything you do repeatedly by copying information between apps — is the real skill.

If you catch yourself doing the same copy-paste for the third time in a week, that's a Zap waiting to exist.

Five starters that earn their keep

Save email attachments to cloud storage automatically. Add form responses to a spreadsheet. Get a message when a specific kind of email arrives. Post new blog articles to your social accounts. Add starred emails to your to-do app.

Each teaches a core concept — triggers, filters, formatting data between apps — while doing something genuinely useful, which is why they beat toy examples.

Testing before trusting

Zapier lets you test each step with real sample data before switching the automation on. Always do it, and check the first few live runs manually — a filter set up slightly wrong can happily copy the wrong data a hundred times.

Name your Zaps descriptively. Future you, debugging at midnight, will be grateful that it's called 'Contact form → sheet + notify' and not 'My Zap 7'.

Understanding the pricing

Plans are metered by tasks — each action run counts — so high-volume automations burn through free allowances quickly. Estimate how often your Zap will fire before building a workflow around it, and check the current plan limits.
