Workflows

A sensible Notion setup for people who hate complicated productivity systems

Skip the elaborate dashboards. A simple Notion workspace with three pages will carry almost everything you need.

The problem with fancy Notion setups

Search for Notion templates and you will find dashboards with linked databases, progress bars and habit trackers. They look wonderful in screenshots and collapse within a fortnight, because every system you build is a system you have to maintain.

A workspace you actually use beats a beautiful one you abandon. Start small and add structure only when you feel the pain of not having it.

The three pages you actually need

First, an inbox page: one long page where you dump everything — ideas, links, tasks, random thoughts — without organizing. Second, a projects page with a short section per active project and its next actions. Third, an archive page where finished things go to rest.

Review the inbox once a week and move items to projects or the archive. That single habit does more than any database.

Useful features to learn slowly

Learn slash commands early — typing / gives you headings, to-do checkboxes, tables and more without touching the mouse. Learn to link pages together with @ mentions so related notes find each other.

Leave databases alone until you have a genuine list to manage, like a content calendar or a job search. That is when tables and filters start earning their keep.

What the free plan includes

Notion's free plan is generous for personal use, with some limits on file uploads and version history. If you plan to use it with a team, check the current plan comparison before moving everyone in.
