Why AI helps with email

Most email time goes on getting started and getting the tone right. AI assistants are good at both: they turn rough notes into a clear draft and can adjust tone from casual to formal in seconds. You still decide what to say.

Step 1: Give bullet points, not a blank request

Write the key facts in a few bullets — who it is to, what you need, any deadline — and ask the assistant to turn them into an email. The more specific your bullets, the less editing you will do.

Step 2: Set tone and length

Add instructions such as "friendly but professional, under 120 words, one clear call to action". Short emails get faster replies.

Step 3: Reply to long threads

Paste a long thread and ask: "Summarize what's being asked of me, then draft a reply that answers each point." Remove personal or confidential details before pasting if you are unsure of the tool's privacy settings.

Step 4: Always edit before sending

Read every draft. Check names, dates and promises. AI drafts can sound generic — add one personal line so it reads like you.

Copy-paste prompts

"Make this email shorter and clearer without changing the meaning: …"

"Rewrite this to decline the request politely and suggest an alternative: …"
